Guidelines & Legal Information

Understand who coordinates your journey, who provides your medical care, and the policies that apply before you travel.

MedicalMex coordinates your journey.

Nonclinical case management, communication, scheduling and logistical coordination for international patients.

Your medical team provides your care.

The treating physicians and medical facility in Mexico are responsible for clinical decisions, medical procedures and the clinical use of biologics, within their respective roles.

Your accepted quote and service agreements identify the services, charges and responsible parties. MedicalMex service terms do not replace the treating provider’s medical consent, privacy notice or clinical obligations.

MedicalMex role & responsibilities

Who coordinates your journey, who provides medical care, and what each party is responsible for.

Your international patient journey

MedicalMex LLC provides nonclinical case management and coordination that enable international patients to access care in Mexico. Medical care and biologic treatments are provided under the responsibility of the treating physicians and medical facility in Mexico, according to their respective roles. MedicalMex does not prescribe, select or administer biologic products, make clinical decisions, or guarantee treatment outcomes.

MedicalMex case management

MedicalMex organizes nonclinical intake, authorized document routing, scheduling, communication, itinerary coordination and administrative follow-up within the service scope you accept. Vania is our patient coordinator. She can help route clinical questions to the treating team; a coordinator’s message is not a medical evaluation or treatment recommendation.

Medical care in Mexico

The treating physicians and medical facility in Mexico are responsible for the clinical evaluation, diagnosis, suitability for treatment, treatment plan, medical consent, procedures, clinical personnel, safety practices, medical records, discharge and follow-up instructions. Dr. César Amescua’s medical direction and the BioMax System clinical approach do not give MedicalMex authority to practice medicine or direct clinical judgment. Responsibility for a particular service belongs to the professionals and entities actually providing it.

Biologic products and clinical use

The treating physicians and medical facility in Mexico are responsible, within their respective professional and operational roles, for evaluating suitability; selecting the treatment and biologic product; verifying the source and applicable documentation; arranging clinically appropriate procurement, receipt, storage and handling; determining dose, route and application technique; obtaining informed consent; administering treatment; monitoring the patient; and responding to complications. Relevant laboratories, manufacturers and suppliers retain responsibility for their own activities and products. MedicalMex does not manufacture, supply, clinically validate, store, prescribe, dispense or administer biologics as part of its case-management service. Routing a document, coordinating an appointment or administering an authorized payment does not constitute clinical approval or certification of a product.

Brands and provider identity

Stem Cell Mexico and BioMax System are names used in presenting the care program and its clinical approach. A brand name or reference to a system does not identify a separate contracting healthcare provider, establish a physician–patient relationship with MedicalMex, or constitute regulatory approval. The actual treating physician, medical facility and billing entity must be identified in the applicable provider documents before treatment.

Payments and shared coordination

An invoice, payment route, coordinated package or MedicalMex contact does not make MedicalMex the clinical provider. MedicalMex fees and provider or vendor charges must be identified according to the accepted quote and applicable payment arrangement. A provider-payment arrangement requires separate documentation, authorization and permission from the payment processor.

Questions and concerns

Direct clinical concerns to the treating physician and facility. MedicalMex can help communicate with them when included in your service scope. Send concerns about MedicalMex coordination to legal@medicalmex.com. Contact local emergency services for urgent medical needs; do not wait for a coordinator’s reply.

Rights and accountability

This disclosure describes the parties’ respective roles. It does not waive patient rights, transfer a laboratory’s or supplier’s own legal obligations to another party, or exclude responsibility imposed by applicable law. MedicalMex remains responsible for its own coordination services and conduct.

Medical care & biologics disclosure

Clinical responsibility, product documentation, consent and regulatory status.

Clinical responsibility in Mexico

MedicalMex LLC provides nonclinical case management and coordination that enable international patients to access care in Mexico. Medical care and biologic treatments are provided under the responsibility of the treating physicians and medical facility in Mexico, according to their respective roles. MedicalMex does not prescribe, select or administer biologic products, make clinical decisions, or guarantee treatment outcomes.

Information to obtain before treatment

Ask the treating team to identify the physician and facility responsible for your care, the proposed biologic product and its source, the intended use and application route, and the documentation relevant to that product and procedure. Ask about applicable authorizations, donor screening where relevant, lot identification, testing and traceability. The treating team is responsible for explaining what is documented, what is uncertain and whether the proposed use is investigational or otherwise subject to specific requirements.

Evidence and regulatory status

Evidence and regulatory status differ by product, indication and procedure. Availability in Mexico, a facility license, a supplier certificate, a registered brand or use of the BioMax System name does not by itself establish approval of a particular product or treatment indication. References to COFEPRIS or the FDA do not imply endorsement. No FDA approval is represented for the proposed treatment merely because a patient resides in the United States or MedicalMex coordinates the journey.

Consent and alternatives

The treating physician must explain the proposed treatment, reasonably foreseeable risks, potential benefits, relevant uncertainty, alternatives and the option of no treatment as required for informed consent. Ask specifically about evidence for your condition, potential adverse effects and follow-up needs. Administrative intake, a payment, a website checkbox or acceptance of MedicalMex service terms does not replace medical informed consent.

Product specifications and outcomes

Cell counts, viability measures, laboratory reports and similar specifications describe particular samples or products under stated test conditions. They do not guarantee clinical benefit, product suitability for an individual patient or a treatment outcome. Any patient-specific product representation must be supported and explained by the responsible clinical team or supplier. MedicalMex’s transmission of those materials is administrative and does not independently validate them.

Treatment changes and follow-up

The treating team may recommend modifying, postponing or declining treatment after evaluation. Obtain explanations of proposed nonurgent changes and known costs before authorizing them. Obtain written follow-up instructions, warning signs and the clinical contact to use after returning home. MedicalMex may coordinate follow-up communications but does not provide clinical monitoring or manage adverse events.

No outcome guarantee and preserved rights

Outcomes vary and no improvement, cure or specific duration of benefit is promised by MedicalMex. A disclaimer is not a substitute for appropriate clinical care, accurate representations or required regulatory authorization.

This disclosure describes the parties’ respective roles. It does not waive patient rights, transfer a laboratory’s or supplier’s own legal obligations to another party, or exclude responsibility imposed by applicable law. MedicalMex remains responsible for its own coordination services and conduct.

Client service terms

Scope, payments, acceptance and responsibilities for MedicalMex services.

Overview

For Case Management Booking and Coordination Services

These Terms apply prospectively to services purchased from MedicalMex LLC on or after the effective date and are incorporated into each MedicalMex invoice, quote, service summary, or written scope that refers to them. They explain what MedicalMex provides, what remains the responsibility of the Client and treating providers, and how payments, cancellations, refunds, and concerns are handled.

Stem Cell Mexico / BioMax System responsibilities

MedicalMex LLC provides nonclinical case management and coordination that enable international patients to access care in Mexico. Medical care and biologic treatments are provided under the responsibility of the treating physicians and medical facility in Mexico, according to their respective roles. MedicalMex does not prescribe, select or administer biologic products, make clinical decisions, or guarantee treatment outcomes.

This disclosure describes the parties’ respective roles. It does not waive patient rights, transfer a laboratory’s or supplier’s own legal obligations to another party, or exclude responsibility imposed by applicable law. MedicalMex remains responsible for its own coordination services and conduct.

1 Agreement and Acceptance

The agreement between MedicalMex LLC, referred to as MedicalMex, and the person receiving or purchasing services, referred to as the Client, consists of the applicable invoice, any accepted written quote or service summary, these Terms, and any written addendum accepted by both parties. A specific term displayed on and accepted with an invoice or service summary controls for that purchase if it conflicts with these Terms. MedicalMex must provide these Terms to the Client before payment, either within the payment sequence or as an attachment that can be reviewed before payment. The Client accepts the agreement by signing, initialing, selecting an acceptance box, providing written confirmation, or knowingly submitting or authorizing payment after receiving the invoice and these Terms. MedicalMex may require a separate electronic acknowledgment. Payment does not replace any medical consent, privacy authorization, or provider agreement required separately. If someone pays on behalf of the Client, that person confirms authorization to make the payment. Unless MedicalMex agrees otherwise in writing, the Client remains responsible for the Client obligations in this agreement.

2 Nature of MedicalMex Services

MedicalMex is a United States management services company that provides nonclinical cross border care case management and administrative coordination. MedicalMex may present provider options based on information supplied by the Client, but the Client and treating provider make all medical decisions. The exact MedicalMex services purchased are limited to those described in the applicable invoice, accepted quote, or service summary. Depending on the service selected, MedicalMex services may include:

Booking assistance and coordination of appointment requests.

Administrative intake, checklist support, document routing, and communication support.

Coordination among the Client, treating providers, and other service vendors selected for the journey.

Scheduling support, itinerary organization, status tracking, reminders, and follow up communication.

Fully managed coordination that combines the above services through a primary administrative point of contact. Fully managed coordination describes the level of administrative support. It does not mean that MedicalMex supervises medical care, controls a provider, guarantees availability, or assumes responsibility for clinical decisions or outcomes.

3 Services MedicalMex Does Not Provide

MedicalMex is not a hospital, clinic, pharmacy, physician, or other licensed medical provider. MedicalMex does not diagnose, prescribe, determine medical necessity, select a treatment for the Client, provide informed medical consent, perform a procedure, or guarantee a medical result. MedicalMex is not an insurer and does not provide insurance coverage under this agreement. MedicalMex is also not a travel carrier or the provider of air transportation, lodging, or other travel services merely because it helps coordinate information related to a care journey.

4 Independent Providers and Client Choice

Medical providers and other parties involved in a journey provide their own services under the responsibilities identified in their agreements and applicable law. A commercial relationship, shared brand or ownership affiliation does not itself give MedicalMex authority to make clinical decisions, and must not be used to misrepresent the actual relationship. Each provider is responsible for its own licensing, clinical evaluation, informed consent, personnel, facilities, treatment decisions, billing, and services. The Client decides whether to consult with or receive services from a provider and may decline a proposed appointment or procedure. Any provider information, options, administrative verification, or coordination supplied by MedicalMex is not a medical recommendation, warranty, or guarantee of suitability. The Client should ask the provider all medical questions before proceeding. Provider services may be governed by separate provider terms, consent forms, privacy notices, cancellation rules, and applicable law. A claim concerning medical treatment should be addressed to the provider that delivered the care. MedicalMex will provide reasonable administrative assistance with communications when that support is included in the purchased service. Any credential, license, certification, facility, or background information reviewed or displayed by MedicalMex is an administrative verification based on information available at the time. It is not a warranty of a provider's qualifications, continued standing, suitability, performance, or medical outcome. The Client may independently verify a provider before proceeding.

5 Quotes Scheduling and Changes

Dates, provider availability, treatment plans, and third party estimates may change before the journey or after an in person medical evaluation. A website price or preliminary quote is an estimate unless the responsible party confirms it in writing. MedicalMex does not guarantee that a requested date, provider, procedure, product, or quoted third party amount will remain available. MedicalMex will communicate material changes known to it. The Client may be required to approve a revised scope, schedule, or amount before additional MedicalMex services are performed. A provider may postpone, modify, or decline treatment based on clinical judgment. A clinical decision alone does not make MedicalMex responsible for the provider’s medical care; MedicalMex remains responsible for its own services and any responsibility imposed by law.

6 Fees Invoices and Payment Authorization

MedicalMex invoices are issued for the MedicalMex services described on the invoice. Unless the invoice expressly identifies a separately authorized payment administration arrangement, payment to MedicalMex purchases only MedicalMex services. Provider and vendor fees are governed by the responsible party's documents and must be separately identified when MedicalMex is authorized to assist with payment administration. A MedicalMex invoice does not make MedicalMex the provider of medical care, transportation, lodging, pharmacy services, or another independent service. MedicalMex will not use a payment processor to collect a provider or vendor charge unless the arrangement is accurately documented and permitted by that processor. When an authorized payment administration arrangement applies, the invoice or service summary must identify the amount, intended recipient, applicable refund policy, and MedicalMex's administrative role. Fees may include an activation fee, booking fee, coordination fee, fully managed service fee, or another administrative service identified on the invoice. The invoice will state the amount due, currency, due date, and any approved installment terms. The Client authorizes the selected payment processor to process each payment the Client initiates or separately authorizes. Payment is considered received when the payment processor confirms successful payment, subject to any lawful reversal, return, or chargeback. Any recurring payment or card on file charge requires a separate authorization that states the amount or method of determining it, timing, and cancellation process.

Related payment guidance, pending legal review.

The Booking and Refund Policy includes proposed payment-timing, outstanding-balance and unexpected-treatment-cost guidance. These cross-references do not expand payment authorizations, merge MedicalMex fees with provider charges, or change the agreement accepted for an earlier purchase. The payment-administration requirements in Section 6 and version protections in Section 15 remain unchanged.

7 Activation Fees Deposits and Prepayments

An activation fee or booking payment begins MedicalMex administrative work, which may include intake review, booking activity, scheduling, document routing, and provider communication. It is not payment for a medical procedure. It reserves provider availability only after the responsible provider confirms the reservation and subject to that provider's terms. A payment made before a scheduled service date is a prepayment for the services identified on the invoice. MedicalMex begins the applicable administrative work after payment and does not hold the payment as a bank deposit or guarantee that a provider will approve or perform treatment.

8 Cancellation Rescheduling and Refunds

Any cancellation or refund terms displayed on and accepted with the invoice, quote, or service summary control for that purchase. If no different policy is accepted, the following default policy applies:

For a cancellation request received at least 15 calendar days before the scheduled service date, MedicalMex will refund the unearned portion of the MedicalMex fee, less authorized nonrecoverable costs or commitments.

For a cancellation request received fewer than 15 calendar days before the scheduled service date, the activation or booking fee is nonrefundable to the extent MedicalMex has performed the described work or incurred authorized nonrecoverable commitments. MedicalMex will refund any remaining unearned portion of its fee.

For a same day cancellation, failure to appear, or cancellation after the journey or scheduled services have begun, fees for MedicalMex work already performed and authorized nonrecoverable commitments are not refundable.

Amounts charged by or committed to an treating provider or vendor are refundable only under that party's policy and only to the extent the amount is returned or released.

A provider cancellation, medical disqualification, change of treatment plan, or decision by the Client not to proceed does not require a refund of MedicalMex services already performed.

If MedicalMex cancels its services for reasons not caused by the Client, MedicalMex will refund the unearned portion of the MedicalMex fee. Cancellation and refund requests must be sent promptly to refunds@medicalmex.com and should identify the Client, invoice, scheduled service date, and reason for the request. Approved refunds are issued to the original payment method when reasonably available. Processing time may depend on the financial institution, payment processor, and any international payment route. Rescheduling may require additional coordination fees and may also result in provider or vendor charges. MedicalMex will disclose known charges before performing materially expanded work when reasonably possible.

9 Payment Questions and Disputes

The Client should contact MedicalMex promptly with any question about an invoice, payment, cancellation, or service concern so MedicalMex can review the matter and provide supporting records. MedicalMex may request reasonable documentation and may communicate with the provider or vendor involved when authorized. Nothing in this agreement removes any right the Client may have under applicable law or payment network rules. A payment dispute or chargeback does not cancel an otherwise valid obligation for services that were authorized and properly performed. MedicalMex may provide the accepted invoice, these Terms, communications, payment authorization, refund records, scheduling confirmations, and dated records of administrative services to the payment processor or financial institution responding to a dispute, subject to applicable privacy requirements.

10 Client Responsibilities

The Client agrees to provide timely, complete, and accurate contact, identity, scheduling, payment, and health related information requested through the appropriate channel. The Client must promptly correct material errors and must not misrepresent identity, payment authority, medical history, medications, travel status, or eligibility. The Client is responsible for attending appointments, following provider instructions, asking medical questions directly to the provider, reviewing all provider consent documents, and paying amounts stated in accepted invoices or provider agreements. Invoices and payment pages are used for billing and payment information only. The Client should not place medical records, diagnoses, photographs, laboratory results, or other sensitive health information in an invoice memo, payment note, or payment portal. Medical information must be sent through the secure channel designated by MedicalMex or the provider.

11 Medical Clearance Consent and Outcomes

All medical clearance, diagnosis, treatment selection, informed consent, prescriptions, procedures, follow up instructions, and clinical decisions are the responsibility of the treating provider. The provider may require additional testing or may modify, postpone, or decline treatment. No medical outcome is guaranteed. MedicalMex is not responsible for a provider's clinical judgment or for an outcome arising from medical treatment. Nothing in this agreement releases MedicalMex from responsibility that cannot lawfully be waived, including responsibility for its own fraud, willful misconduct, gross negligence, or violation of law.

12 Travel Logistics and Third Party Services

The Client is responsible for passports, visas, border eligibility, customs compliance, medication transport, travel insurance, personal expenses, and compliance with applicable laws. MedicalMex may provide incidental administrative coordination or exchange information with a transportation, lodging, laboratory, pharmacy, or other vendor selected for the journey. Transportation, lodging, laboratory, pharmacy, and similar services are generally performed by treating providers or vendors. The responsible third party controls availability, safety, delays, cancellations, performance, and its own refund policy. The Client should review the third party's terms before purchase. MedicalMex coordination does not make MedicalMex the carrier, lodging provider, laboratory, pharmacy, or seller of the third party service.

13 Emergencies and Follow Up Support

MedicalMex is not an emergency service. In a medical emergency, the Client must contact local emergency services or the treating provider immediately. Administrative support, messaging, or follow up coordination from MedicalMex is not a substitute for urgent medical evaluation. Post service support is limited to the period and tasks stated in the invoice or service summary. Medical questions must be answered by the treating provider or another qualified medical professional.

14 Privacy Records and Information Sharing

MedicalMex uses personal information to provide coordination, billing, support, compliance, and related business functions as described in its applicable privacy notice. The Client authorizes MedicalMex to share the minimum information reasonably necessary to coordinate the requested services with selected providers and vendors, subject to applicable law and any separate authorization that may be required. MedicalMex may maintain administrative records of communications, scheduling, services performed, authorizations, and payments. Payment processors and financial institutions handle payment data under their own terms and privacy practices. MedicalMex's accounting system is not a medical record system and should not be used to store individually identifiable health information.

15 Electronic Communications and Records

The Client agrees that MedicalMex may send service related communications, invoices, notices, and records by email, text message, telephone, client portal, or another electronic method supplied by the Client. Standard carrier charges may apply. Marketing messages require any separate consent required by law. The Client may request a downloadable or printed copy of these Terms. The version supplied with or linked from the invoice at the time of payment governs that purchase unless both parties later agree in writing to a change. MedicalMex may maintain date stamped administrative records showing intake activity, booking requests, communications, document routing, schedules, itineraries, provider confirmations, changes, and follow up work. These records may be used to confirm the services performed. A later version of these Terms does not replace the version accepted for an earlier payment.

16 Suspension or Refusal of Services

MedicalMex may pause, decline, or end its services when payment is overdue, information is materially inaccurate or incomplete, conduct threatens safety, the requested activity may be unlawful, a provider declines the case, or continued coordination is not reasonably possible. MedicalMex will communicate the decision when legally and reasonably permitted and will apply the refund provisions above to any unearned MedicalMex fee.

17 Disclaimer and Limitation of Liability

MedicalMex will perform its own services with reasonable care. To the fullest extent permitted by law, MedicalMex is not liable for indirect, incidental, special, exemplary, punitive, or consequential damages, including lost income, lost travel costs, or loss of opportunity, arising from treating provider decisions, third party performance, schedule changes, or events outside MedicalMex's reasonable control. To the fullest extent permitted by law, MedicalMex's total liability arising from its own services for a particular journey will not exceed the amount of MedicalMex service fees paid for the affected services. This limitation does not apply to liability that cannot lawfully be limited, including liability for fraud, willful misconduct, gross negligence, violation of law, or any nonwaivable consumer right.

18 Events Outside Reasonable Control

MedicalMex is not responsible for delay or failure caused by events outside its reasonable control, including severe weather, natural disasters, border closures, government action, public health events, strikes, transportation disruption, utility or communications failure, provider unavailability, or payment system interruption. MedicalMex will make reasonable efforts to communicate and resume or adjust the affected coordination services.

19 Concerns Governing Law and Venue

Before filing a claim concerning MedicalMex services, the Client and MedicalMex agree to make a good faith effort to resolve the concern through written notice and reasonable review. Notice to MedicalMex may be sent to legal@medicalmex.com. Either party may seek urgent relief or use a payment network process when legally available. California law governs this agreement without regard to conflict of law rules, except where another law must apply. Any court proceeding concerning MedicalMex services must be brought in a court with jurisdiction in San Diego County, California, unless applicable consumer law requires another location. Provider medical services remain subject to the provider's separate agreement and applicable law.

20 General Terms

If any provision is found unenforceable, it will be limited or removed only to the extent necessary, and the remaining provisions will continue. A delay in enforcing a right is not a waiver. The Client may not transfer this agreement without MedicalMex's written consent. MedicalMex may assign the agreement as part of a merger, reorganization, or transfer of the relevant business, subject to applicable law. The invoice, accepted quote or service summary, these Terms, and any accepted written addendum are the entire agreement concerning the purchased MedicalMex services. Website content and advertising provide general information and do not change the accepted scope, price, or refund terms. Nothing in this paragraph limits a right that cannot lawfully be waived or permits a materially misleading statement.

Medical disclaimer

General information, clinical evaluation and individual outcomes.

Overview

Information provided through MedicalMex websites, forms, communications, and educational materials is intended for general information and nonclinical coordination purposes only.

This disclosure describes the parties’ respective roles. It does not waive patient rights, transfer a laboratory’s or supplier’s own legal obligations to another party, or exclude responsibility imposed by applicable law. MedicalMex remains responsible for its own coordination services and conduct.

No Medical Advice

Nothing provided by MedicalMex should be interpreted as medical advice, diagnosis, a prescription, a treatment recommendation, informed medical consent, or a substitute for consultation with a licensed healthcare professional. Questions about symptoms, conditions, medications, eligibility, treatment options, complications, recovery, and medical decisions must be directed to a qualified healthcare provider.

Role of MedicalMex

MedicalMex LLC is a U.S. management services company providing nonclinical case management, booking, administrative coordination, and fully managed coordination services. MedicalMex is not a hospital, clinic, pharmacy, physician, or other licensed medical provider.

Treating Healthcare Providers

Treating healthcare professionals and organizations provide medical care under their own clinical responsibilities. Their actual contractual and ownership relationships must be accurately disclosed. They are responsible for their own licenses, evaluations, diagnoses, informed consent, recommendations, prescriptions, procedures, personnel, facilities, billing, follow up care, and clinical outcomes. MedicalMex does not control a provider’s clinical judgment or treatment methods. Administrative review of credential or license information is not a warranty of continued standing, suitability, performance, or outcome.

No Guarantee of Eligibility or Results

Medical procedures and treatments involve risks and individual variation. MedicalMex does not guarantee medical eligibility, provider acceptance, treatment results, recovery timelines, procedural success, complication rates, or patient satisfaction. Photographs, testimonials, examples, and descriptions show individual experiences and do not promise that another person will receive the same result.

Prices and Treatment Information

Website prices and treatment descriptions are general estimates and may change. The treating provider determines the final treatment plan, medical eligibility, and clinical requirements. A displayed price is not a binding provider quote unless the responsible party confirms it in writing.

Regenerative and Emerging Treatments

Regenerative, cellular, interventional, wellness, and other evolving treatments may involve scientific uncertainty, regulatory differences, and outcomes that vary significantly. Clients should discuss the evidence, alternatives, risks, regulatory status, and expected benefits directly with the treating provider before deciding to proceed.

Medication Information

MedicalMex does not prescribe, dispense, manufacture, authenticate, or import medication. Medication decisions belong to the prescribing provider and dispensing pharmacy. Clients are responsible for following applicable prescription, customs, transport, and import requirements.

Client Responsibility

Clients are responsible for providing accurate and complete information, disclosing relevant conditions, medications, allergies, and prior procedures, reviewing provider consent documents, asking questions, and following the treating provider’s instructions.

Emergencies

MedicalMex does not provide emergency services or urgent medical monitoring. If you believe you are experiencing an emergency, contact local emergency services or seek immediate assistance from a licensed healthcare provider.

Limitation

To the fullest extent permitted by law, MedicalMex is not responsible for medical decisions, clinical complications, treatment outcomes, or the professional services of an treating healthcare provider. Nothing in this disclaimer excludes responsibility that cannot lawfully be excluded.

Booking, cancellation & refunds

Separate MedicalMex service fees from provider and vendor charges.

Overview

This policy applies to MedicalMex LLC booking, case management, and administrative coordination services purchased on or after the effective date. A different cancellation or refund term displayed on and accepted with a specific invoice, quote, or service summary controls for that purchase.

Booking Payments and Service Activation

A booking payment or activation fee authorizes MedicalMex to begin the administrative services described in the applicable invoice or service summary. These services may include intake organization, booking activity, scheduling communications, document routing, itinerary preparation, provider communication, reminders, and logistical coordination. A payment to MedicalMex is not payment for a medical procedure unless a separately documented and authorized payment administration arrangement expressly states otherwise. A requested provider date is not reserved until the responsible provider confirms the reservation and remains subject to that provider’s terms.

Quotes and Changes Following Medical Evaluation

Website prices and preliminary treatment estimates may be based on limited or self reported information. The independent treating provider determines medical eligibility, the final treatment plan, and any clinical changes after consultation or in person evaluation. The client will be informed of material changes known to MedicalMex before proceeding whenever reasonably possible. The client may accept or decline an updated treatment plan. Declining a provider’s proposed change does not make MedicalMex services already performed refundable.

Payment guidance update for legal review.

These proposed additions do not change previously accepted booking terms. Your accepted invoice, quote, service summary and provider agreement remain applicable.

Payment Timing and Discharge Balances

The accepted quote and the responsible provider’s agreement determine payment deadlines. Some amounts may be due before treatment or upon arrival. Any remaining amounts due must be settled before departure from the facility unless the billing provider approves another arrangement in writing. Do not assume that you will receive a bill only after returning home.

Before departure, ask for a final account review, confirm the services and amounts charged, identify any balance due, and obtain payment instructions and receipts from the responsible billing entity. Confirm any charges still awaiting reconciliation and any agreed payment arrangement in writing.

Payment obligations are separate from clinical discharge decisions. The treating team determines clinical discharge and readiness to travel. These payment provisions do not authorize MedicalMex or a provider to detain a patient for an unpaid bill, or override applicable patient rights or emergency-care requirements.

Outstanding Balances After Returning Home

Returning home does not cancel an otherwise valid unpaid balance. When authorized by the provider and permitted by applicable law, MedicalMex may contact the patient on the provider’s behalf to explain outstanding charges and coordinate collection. MedicalMex’s own service charges remain distinct from amounts owed to independent treating providers or vendors.

A payment request must identify the entity owed, the services or charges and amounts claimed, and the authorized payment recipient. Patients may request an itemized explanation and supporting records and may raise billing concerns. Verify the payment recipient before sending funds. MedicalMex may receive or process a provider payment only under a separately documented, authorized arrangement permitted by the applicable payment processor.

This guidance does not authorize automatic card charges, collection penalties or interest. Any such charge would require a valid basis in the applicable accepted terms, any required separate payment authorization, and applicable law. Existing rights to question a charge, dispute a payment or use an available payment-network process are preserved.

Contact legal@medicalmex.com to request an itemized balance or help with a billing concern.

Unexpected Expenses During Treatment or Recovery

Unexpected clinical findings or complications during treatment or recovery may result in costs beyond the confirmed package. Depending on the circumstances, these may include additional testing, medications, supplies, operating-room time, hospitalization, or higher-level care. Ask the treating provider to explain foreseeable exclusions and potential additional costs before treatment.

For nonurgent changes, the responsible provider should explain the proposed change and known cost implications and obtain the patient’s or authorized representative’s approval before proceeding whenever possible. Optional additions or upgrades require approval; accepting a package is not blanket authorization for every additional service or charge.

Urgent clinical decisions are made by the treating team under applicable informed-consent and emergency-care requirements. When advance discussion is not possible, the provider should subsequently explain and document the clinical reasons, services provided and related charges. This policy does not replace medical consent or grant MedicalMex authority over clinical decisions.

Financial responsibility for additional services follows the applicable accepted agreements, any applicable coverage, and the law. Coverage or reimbursement is not guaranteed by MedicalMex. Patients may request an itemized explanation or raise a billing concern about additional charges.

Default Cancellation and Refund Policy

If no different policy was accepted with the applicable invoice, quote, or service summary, the following default policy applies:

For a cancellation request received at least 15 calendar days before the scheduled service date, MedicalMex will refund the unearned portion of the MedicalMex service fee, less authorized nonrecoverable costs or commitments.

Amounts charged by or committed to an treating provider or vendor are refundable only under that party’s policy and only to the extent the amount is returned or released.

A provider cancellation, medical disqualification, change of treatment plan, or client decision not to proceed does not require a refund of MedicalMex services already performed.

If MedicalMex cancels its own services for reasons not caused by the client, MedicalMex will refund the unearned portion of the MedicalMex service fee.

Rescheduling

Rescheduling may require additional coordination work and may result in provider or vendor charges. MedicalMex will disclose known charges before performing materially expanded work whenever reasonably possible. A new date remains subject to provider confirmation and availability.

Independent Provider and Vendor Policies

Medical providers, facilities, laboratories, pharmacies, transportation providers, lodging providers, and other vendors operate independently. Their deposits, cancellation requirements, deadlines, credits, and refunds are governed by their own policies. MedicalMex cannot promise that a third party will return or release an amount.

Transportation and Logistics

Transportation, lodging, laboratory, pharmacy, and similar arrangements may be coordinated through treating providers. Once a third party service has been dispatched, reserved, used, or otherwise committed, the applicable amount may be nonrefundable under that party’s policy.

Medical Eligibility and Outcomes

Treatment is subject to evaluation and acceptance by the independent treating provider. The provider may modify, postpone, or decline treatment based on clinical judgment. Medical and aesthetic outcomes cannot be guaranteed, and dissatisfaction with a clinical result does not create a refund obligation for MedicalMex administrative services properly performed.

How to Request a Cancellation or Refund

Send the request promptly to refunds@medicalmex.com. Include the client’s full name, invoice number, scheduled service date, and reason for the request. MedicalMex may request additional information reasonably needed to review the request. Approved refunds are issued to the original payment method when reasonably available. Processing time depends on the payment processor, financial institution, currency, and international payment route. The time for a refund to appear after approval is controlled by those institutions.

Payment Questions and Disputes

Clients should contact MedicalMex promptly about an invoice, payment, cancellation, or service concern so the matter can be reviewed. MedicalMex may provide accepted terms, invoices, communications, payment authorizations, refund records, scheduling confirmations, and dated records of administrative services to a payment processor or financial institution responding to a dispute, subject to applicable privacy requirements. Nothing in this policy removes any right available under applicable law or payment network rules.

Acceptance

MedicalMex provides this policy before payment through the payment sequence, invoice, attachment, or service summary. The client accepts the policy by signing, initialing, selecting an acceptance box, providing written confirmation, or knowingly submitting or authorizing payment after receiving it.

MedicalMex does not prescribe, select or administer biologic products, make clinical decisions, or guarantee treatment outcomes.

The actual treating physician, medical facility and billing entity must be identified in the applicable provider documents before treatment.

This disclosure describes the parties’ respective roles. It does not waive patient rights, transfer a laboratory’s or supplier’s own legal obligations to another party, or exclude responsibility imposed by applicable law. MedicalMex remains responsible for its own coordination services and conduct.

Independent Medical Care

Medical services are provided by independent licensed healthcare providers in the location where care is delivered. Those providers are responsible for medical evaluations, informed consent, diagnoses, prescriptions, procedures, treatment decisions, follow up instructions, and clinical outcomes. MedicalMex does not operate as a hospital, clinic, pharmacy, or physician and does not control the clinical judgment of an treating provider.

Applicable Laws and Jurisdiction

Medical services are generally governed by the laws and professional requirements of the jurisdiction where the care is physically provided. Legal rights, regulatory procedures, medical record practices, and dispute processes may differ from those in the client’s home jurisdiction. MedicalMex administrative services may be performed in the United States and Mexico to support the cross border nature of the coordination service. The law applicable to MedicalMex services is addressed in the Client Service Terms and Conditions. Provider services remain subject to the provider’s documents and applicable law.

Travel Documents and Entry Requirements

Clients are responsible for passports, visas, entry and exit requirements, border eligibility, customs declarations, travel insurance, and any documents required for international travel. Government requirements may change without notice.

Fitness to Travel

Clients should ask the treating provider whether they are medically fit to travel before and after treatment. MedicalMex does not determine fitness to travel. Travel should not be undertaken against medical advice.

Medication and Customs Compliance

Clients are responsible for complying with prescription, medication transport, customs, and import requirements in every applicable jurisdiction. Some medications may require a prescription, physician letter, original packaging, declaration, or other documentation. MedicalMex may coordinate communication with treating providers or pharmacies but does not prescribe, dispense, manufacture, authenticate, import, or guarantee admission of a medication through customs.

Transportation Lodging and Other Logistics

When included in the service plan, MedicalMex may coordinate information with independent transportation, lodging, laboratory, recovery, or other service providers. Those parties control their own availability, operations, personnel, safety, delays, cancellations, and refund policies. Clients are responsible for personal belongings and conduct during travel. Scheduled logistical support is not personal or on demand transportation unless expressly stated in writing.

Changes and Delays

Border conditions, weather, government action, provider availability, medical considerations, transportation disruption, and other events may require changes to the schedule. MedicalMex will make reasonable efforts to communicate known changes and coordinate available alternatives within the purchased service scope.

Costs and Insurance

Unless expressly stated in writing, care coordinated through MedicalMex is private pay. Clients are responsible for confirming whether an insurer, employer, benefit plan, or financing provider will reimburse any amount. MedicalMex does not guarantee insurance coverage, reimbursement, financing approval, or savings.

Emergencies and Follow Up

MedicalMex is not an emergency service. In an emergency, contact local emergency services or the treating provider immediately. Clients should obtain provider instructions for follow up care and identify appropriate local medical support before returning home.

Acknowledgment
